Information collected by the Black Rose
Information collected online is usually defined as being either anonymous or personally identifiable.
- Anonymous information refers to data that cannot be tied back to a specific individual. For example, Black Rose collects some information each time a visitor comes to a Black Rose site so we can improve the overall quality of the visitor's online experience. Black Rose collects the visitor's IP address (e.g., whether the user is logged on from ibm.com or aol.com), referral data (e.g., the Internet address of the last Web page visited by a user before clicking over to a Black Rose site), and browser and platform type (e.g., a Netscape browser on a Macintosh platform). Black Rose also collects aggregate search terms from various search services for internal reporting. Black Rose collects this user information for purposes of site monitoring and improvement. You do not have to register with the Black Rose before we can collect this anonymous information.
- Personally identifiable information refers to data that tells us specifically who you are, such as your name and postal address, which may be collected in addition to the anonymous data described above. Black Rose collects personal information in the following ways from different parts of its Web sites:
- Membership Registration: When you register as a Black Rose member, you provide Black Rose with your scene name, legal name, postal address, ZIP Code, email address (optional), mailing list preferences (optional), newsletter preferences (optional), gender (optional), and orientation (optional). Users who complete the membership process are given a Black Rose membership number and can take full advantage of the many offerings within Black Rose and our reciprocal groups.
- Event Registration: When you register for a Black Rose event (such as our annual event - BR2002), you provide Black Rose with your scene name, legal name, postal address, ZIP Code, email address, and mailing list preferences (optional). Black Rose collects your credit card information in connection with your payment for the event registration. Users who complete the event registration process are given event registration numbers and passwords, which allows you to access the Black Rose community system. If you choose to complete the profile questionnaire within the community system, Black Rose collects and posts all of your responses, plus any images or links that you post.
- Mailing Lists: When you request to be added to a Black Rose mailing list (such as BR News), you provide the Black Rose with your email address. Black Rose may, from time to time, use your information to contact you about upcoming events, and changes or enhancements to our website.
- Correspondence: If you contact the Black Rose, we may keep a record of that correspondence. We do not collect any email addresses of those who communicate with the Black Rose via email. We use the information provided so that we may respond to the email.
How Black Rose uses the information it collects
Black Rose does not disclose, sell or rent your personal identification to third parties. Any personally identifiable information you share with Black Rose is maintained and accessible only by Black Rose unless specifically stated otherwise.
- Anonymous information: Black Rose uses aggregate data to perform statistical analyses of the collective characteristics and behavior of our registered users and visitors, to measure user demographics and interests regarding specific areas of the Black Rose website, and to analyze how and where best to use our resources. We do not track what pages individual users are browsing, but rather how well each page performs overall. Without such data, we would not know which parts of the Black Rose website are the most popular, and we would not be able to change and update the content and services appropriately.
- Membership Registration: Black Rose uses information you provided to process your membership and to issue you a Black Rose membership number. If you choose to use a credit card to pay for your membership, only the last 4 digits of your credit card and a transaction number will be stored as proof of transaction. If you elect to receive a copy of our printed newsletter, Black Rose will use your name and postal address to process this request. Black Rose may use your information to contact you about issues regarding your membership.
Organizations that have reciprocal agreements with Black Rose may ask for and receive an affirmative or negative response to whether you are a member, so long as they can provide us with your Black Rose Membership number and Legal Name as listed on your membership application.
Black Rose uses aggregate data collected from membership applications to generate statistical analyses of the collective characteristics of our members and to measure demographics. Examples of this analysis include: the number of memberships processed in a given time period, the number of gender / orientation specific members, and the number of members that reside in a given state.
- Event Registration: Black Rose uses information you provide to process your event registration and to issue you an event registration number and password. If you choose to use a credit card to pay for your registration, only the last 4 digits of your credit card number and a transaction number will be stored as proof of transaction. Black Rose may use your information to contact you about issues regarding your event registration.
Black Rose uses aggregate data collected from event registrations to generate statistical analyses of the collective characteristics of our registrants and to measure demographics. Examples of this analysis include number of registrants processed in a given time period, and the number of registrants that reside in a given state.
- Community System Users: If you choose to create a profile within the community system, Black Rose uses the answers to the profile questionnaire, along with any images or links you post, to create your community system profile. Please be aware that if you disclose personally identifiable information on your profile, that the information may be collected and used by third parties without our knowledge and may result in unsolicited communications from third parties. Such activities are beyond the control of Black Rose.
- Mailing Lists: Your email address is used to subscribe you only to the mailing lists you specifically requested. It is the policy of Black Rose to send our members only the types of email they elect to receive in addition to Black Rose customary business communications (address confirmation, renewal notifications, etc.) Further, it is our policy to remove members from any Black Rose mailing list to which they have subscribed upon request (members will continue to receive customary business communications from Black Rose). In addition, every opt-in email communication from Black Rose will contain clear and obvious instructions for how the member can remove himself or herself from that mailing list.
Access to the Personal Data We May Hold About You
You can ask us, by sending an email to privacy@br.org, whether we are keeping personal data about you.
We will provide you with a readable copy of the personal data that we keep about you within a week. We may require proof of your identity before disclosing the information. We will provide the information without any charge.
We allow you to challenge the data that we hold about you and, where appropriate, you may have the data rectified or amended. We reserve the right to refuse to provide our visitors with a copy of their personal data, but will give reasons for our refusal. We do, however, allow you to challenge our decision to refuse to provide you with a copy of your personal data.
Confidentiality / Security
Black Rose ensures that its systems are secure using industry standard best practices. Software is kept up to date with the latest patches and techniques.
We give you the option of using a secure transmission method (SSL) to send us the following types of personal data:
- Primary personal data (such as name and contact details)
- Identifiers (such as registration number, Web site password)

Black Rose website contains non-advertising links to a variety of third party sites to enhance the member experience. Black Rose has no control of either the content or privacy policies of such sites, nor should such links be considered an endorsement of these sites except where otherwise noted. Black Rose encourages users to review each site's privacy policies prior to submitting any personal information to them.
Children's Privacy
Protecting the privacy of the young is especially important to Black Rose. For that reason, we never collect or maintain information at our Web site from those we actually know are under 18, and no part of our Web site is intended for use by those under 18.
